ICANotes customers who are setup to send Email Reminders to their clients have the option of fully customizing the content of those reminders. For more information on enabling clients for Email Reminders, check out our Knowledge Base article, or call Support at (443) 569-8778.

Patient Portal Admin - setup

Security Administrators can grant access Patient Portal Admin privileges to any account via the Security Center. 

Start by navigating to Settings and Directories

Click to go to the Security Center then when prompted, enter your ICANotes password.

In the Security Center, find the name of the person who will take the role of Patient Portal Admin and click the Screenshot for Custom Email Reminders button in the right column. (Note: If you are setting another user to be the Patient Portal Admin, the Screenshot for Custom Email Reminders button will be grey.)

Check the Patient Portal Admin checkbox then click Save.

This user is now ready to access the Portal Admin Login. 

Customizing Email Reminders

Start by logging into the Patient Portal with your ICANotes credentials using the Portal Admin Login - https://patientonlineportal.com/admin

From the top menu, click to go to Admin Tools, then click to go to Email Reminder Settings

By default, email reminders are sent out 48 hours ahead of the scheduled appointment time. To change this frequency, replace the default time with another entry, such as 24 to send reminders 24 hours before appointment, 72 for 72 hours before appointment, and so on. 

The subject line of the Email Reminder can be updated to include custom information. Details located in {parentheses} are placeholders, and dynamically populate based upon the scheduled appointment.

Use the Add Data dropdown to select placeholders as you customize the subject heading

In addition to the subject line, the body of the email reminder can also be customized. Begin typing in the text box to build the content of the reminder, then use the available options to insert data placeholders and styling/formatting where appropriate

When you’re satisfied with your customized Email Reminder, click Screenshot for Custom Email Reminders to save.  You’ll see a brief confirmation (called a “toast” notification) at the bottom corner of your screen confirming your settings have been saved
